Challenges
The client was using the MS Office 365 email services. It is difficult for a user to manage the storage. End-user support deletes the old email frequently to avoid email delivery failure, Drive, Vault and other compliance settings were not available in MS Office 365.
Solution
With the recommendation and support of Shivaami, BMM Group switched to Google Workspace Starter & Enterprise Starter plan in Dec 2022.
Shivaami guided BMM Group through a comprehensive migration process. The project management group from Shivaami conducted the planning meetings, identified the performance criteria, and selected the starting set of Google Workspace products & features while handling the issues as they arose. The deployment services consisted of
- Implemented SMTP relay in SAP application.
- Helped set the complex password policy
- Helped set the content compliance and legal note to the email footer.
The project was kicked off. Changes were made to the DNS settings, tested the network access to Google Workspace, desired settings were introduced to Google Workspace, & user data was migrated to Google Workspace using the DMS, IMAP Sync, GWMMO, GAM, GCDS & GSPS.
Result
Within 1 month, BMM Group had successfully completed the data migration process for all of its users in the Google Workspace platform, and based on the feedback the stakeholders/employees were very satisfied. The users had the best possible experience with Google Workspace with familiar emails, contacts, calendars & Google Drive.
With Google Workspace, spam is now kept to a minimum with the appropriate spam filters.
Enabling advanced device management policy and customer control of the corporate data, Drive and the Compliance settings allowed the internal IT team to control Gmail set-up accounts.
The IT team now has more time to devote to business continuity and other compliance. They believe any problems can be resolved efficiently.
The ease of use and reliability provided by Google’s cloud-based communication & collaboration tool replaced the earlier challenges and frustrations caused by their old system.
